Assistant Property Manager– Affordable Housing
What You’ll Do
- Affordable Housing Responsibilities
- Complete quarterly occupancy reporting and submit to Supervisor for WHEDA reporting.
- Make sure all re-certifications are done on time each month in a timely matter. Handle any Interim recertifications that may need to be handled as well.
- Make sure applications for Section 8/42 are in tenant files with supporting documentation.
- Accurately maintain separate Section 42 EIV folders.
- Make sure all move-out paperwork is done on time and entered into Yardi accurately. Prepare collection letters and follow up.
- Assist with WHEDA & REAC inspections and other audits.
- Notify all Residents of Utility Allowance Adjustments and new rental rates.
- Leasing
- Tour prospective tenants through available rental units.
- Ensure accuracy and completion of prospect rental applications. Process lease applications and approve/deny applicants based on company policy and procedure.
- Prepare all lease agreements and related forms, ensuring accuracy and proper execution based on company policy and procedure.
- Resident Relations
- Develop strong rapport through quality customer service and effective communication while enforcing company and community policies.
- Resolve all resident issues/concerns to best of your ability while following company policy.
- Oversee all details of move-ins/move-outs, giving special attention to apartment inspection reports, monitoring for timely completion, accurate charges and timely scheduling to prepare vacant units for occupancy and meeting security deposit requisition deadlines per state code.
- Ensure that resident files are complete and maintained per company procedure. This includes all resident data within Yardi.
- Help the Property Manager implement, design, and maintain a resident retention program to include newsletters and social activities.
- Report any unusual, extraordinary circumstances regarding the residents or the property to the Property Manager.
- Facilities Management
- Report accidents and emergency situations to the corporate office and/or your supervisor in a timely manner and prepare proper reports.
- Regularly inspect grounds, common areas, vacant units, and office recording deficiencies and working with Property Manager to take necessary action within budget constraints.
- As needed, help with housekeeping duties around the community which could include cleaning common area restroom, laundry rooms, trash room, community room & kitchen as well as vacuuming hallways.
- Financial Operations
- Ensure the collection and deposit of rent payments per company procedure.
- Handle delinquent accounts, including sending balance statements as directed by the Property Manager.
- Input and ensure accurate information into Yardi to track and maintain lease and financial transactions of the property.
- Scan all payable invoices into PayScan following company procedure.
- Assist Property Manager in annual budget creation.
- Miscellaneous
- Follow and ensure compliance of all Fair Housing laws.
- Encouraged to seek educational opportunities and self-improvement for personal growth and development to be discussed with your supervisor.
- Maintain a positive working relationship within the community, with employees, owners, vendors and outside agencies to help positively promote Urban Land Interests.
- Perform other duties which may be required to ensure economic success of Urban Land Interests as necessary.
What We’re Looking For
- 1-3 years in Property Management or Customer Service-related field required. Prior experience managing affordable housing preferred.
- High School diploma preferred.
- A positive attitude and the ability to work well under pressure.
- Competence in Microsoft Office Suite including Word, Excel, and Outlook. Experience with Yardi and Adobe is a plus.
- Strong organizational skills with a good attention to detail. Strong ability to prioritize responsibilities.
- Knowledge of OSHA laws and regulations.
- Must be able to periodically lift up to 20 lbs. and up to 40 lbs. occasionally.
- Ability to walk and traverse stairs on a regular and daily basis.
- This role includes inside and outside work in all types of weather (heat, snow, rain, cold, etc.). Must wear slip resistant footwear appropriate for the season.
- Ability to work long hours when required.
The Assistant Property Manager is responsible for assisting the Property Manager with the day-to-day operations of the property including but not limited to following HUD and WHEDA procedures, meeting or exceeding set occupancy goals, collecting rent and managing resident relations. This role is located in Wausau and is a part-time up to full-time position.
