Coworking Community Associate
What You’ll Do
Member Services & Hospitality
- Serve as the primary point of contact for the suite. Greet members and guests, answer and direct incoming calls, and maintain a welcoming presence at the reception desk.
- Support day-to-day member needs, including meeting room booking and setup, private office move-in preparations, and general office equipment troubleshooting.
- Set the standard for community appearance, keeping kitchen areas, conference rooms, and shared community spaces clean and show ready. Unload the dishwasher and wash tables in common areas as needed throughout the day. Check community spaces routinely and ensure supplies are well stocked.
- Set-up and host hospitality services for members including breakfast, snacks, beverages, and weekly happy hour events.
- Collaborate with the Coworking Manager on implementing engaging member gatherings and events that strengthen the culture of the community.
- Maintain a thorough understanding of Urban Office Co. services, amenities, membership options, and the surrounding downtown area so that you can confidently advise, recommend, and connect members with what they need.
Coordinate with janitorial and maintenance teams to strategically address issues as they arise.
Urban Office Co. Operations
- Maintain detailed client records including membership terms, access credential assignments, and contact information.
- Oversee daily mail and package distribution, along with weekly mail forwarding services for virtual office members. Ensure postage meter is properly funded and mailing supplies are well stocked.
- Support and collaborate with Coworking Manager on social media strategy, market listings, and advertisements.
- Support and collaborate with Coworking Manager on member billings, systems administration, contracting, and member notices.
- Purchasing & Inventory (in coordination with Co-working Manager and ULI accounting teams)
- Purchase and maintain kitchen stock, office supplies, and other material inventories within budget constraints.
- Support Coworking Manager when receiving kitchen stock deliveries.
- Print and code credit card receipts for community related purchases.
- Occasionally assist with rearranging office spaces.
- Maintain a working understanding of various equipment within the suite, including coffee brewer, water dispenser, print/copy machines, and conference room A/V systems.
- Other duties as assigned.
What We’re Looking For
- Experience in a Hospitality or Customer Service-related industry preferred.
- High School diploma required.
- A positive attitude and the ability to build relationships.
- Strong organizational skills with good attention to detail. Ability to prioritize responsibilities.
- Strong verbal and written communication skills. Ability to clearly communicate information and issues both externally and internally.
- Ability to multitask, creatively solve problems, and work well under tight deadlines while providing exceptional customer service.
- Demonstrate an eye for detail and implement brand standards.
- Possess high-level proficiency in Hospitality-based customer service.
- Ability to work independently.
- Competence in Microsoft Office Suite including Word, Excel, and Outlook. Adobe experience is a plus.
- Must be able to periodically lift up to 20 lbs. and up to 40 lbs. occasionally.
