Parking Administrator
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
- Assist all walk-in customers with monthly parking functions, validation requests and parking payments.
- Ensure all parker data is current in parking management and accounting software, making updates within 2 business days of effective start/stop/change dates.
- Initiate ACH and other forms of payment.
- Create and email monthly and validation invoices to tenants/parkers.
- Assist customers with accessing and navigating their online parking accounts by troubleshooting login issues, guiding them through portal features, and resolving common technical or account-related questions.
- Manage accounts receivable balances by identifying delinquent accounts, initiating timely outreach, and documenting collection activities. Issue past-due notices, follow up with customers to resolve outstanding balances, and escalate concerns as needed. Provide regular status updates to leadership and accounting, highlighting risks, trends, and recommended next steps.
- Respond to customer inquiries regarding charges, payment history, and account balances by reviewing and interpreting account ledgers. Research discrepancies, provide clear explanations, and ensure customers receive accurate, timely information to support resolution of outstanding issues.
- Provide requested reports and data to Accounting for financial reporting. Observe accounting cut-offs for recording transactions. Collaborate with Accounting on recording tenant payments made on rent checks.
- In collaboration with Parking and Operations teams, assist in systems engineering activities, including the troubleshooting of complex problems and overall system operation.
- Under the direction of the PFS Manager, communicate with vendors to perform systems repair and operation. Ensure all software for parking operations is up to date and functions properly.
- Collaborate with ULI Operations and Marketing teams to monitor Madison’s parking marketplace competition and rates. Make recommendations on rate changes per location to maximize the parking resource.
- Collaborate with the Parking Specialist on training and assigning staff to booths and other tasks, for day-to-day activities and special events.
- Field calls for assistance from parkers in the ramp.
- Participate in the Parking On-Call rotation.
- Record and file all parker contracts, sales tax exemption support and other documentation as needed.
- Assist with coordinating parking (long term and short term) with contractors for commercial improvement projects.
- Tour ramps and lots to identify possible issues and opportunities.
- Make recommendations to the PFS Manager on process, practice, and execution of the department.
- Order necessary supplies.
- Other duties as assigned.

- Basic accounting knowledge is a plus.

- Demonstrated ability to maintain confidentiality of information.

- High School Diploma or greater.

The Parking Administrator will monitor, coordinate, and maintain financial and customer data related to monthly parking for all of ULI’s commercial owned and managed parking locations. This role is responsible for processing all financial transactions for monthly and validation parkers using the parking management and accounting software. The Parking Administrator will work with commercial tenant managers to coordinate employee parking and onboard and offboard tenants/parkers in the system portal. This role is responsible for assisting clientele with questions related to billing, account status, and balance information. The Parking Administrator is a partner to the Parking Specialist and reports directly to the Parking and Facility Services Manager (PFS Manager). Collaboration with the Accounting department is paramount to this role, ensuring that accounting has all necessary information required for accurate and timely financial reporting.
